Sometimes you need to grant or remove a student's access straight away — without waiting on an automation to catch up. Here's how to do it manually, in a couple of clicks, from the student's own contact record.
There are a few reasons you might need to manage a student's access directly: their subscription has lapsed, there's been a payment dispute, they've asked to be removed, or you're granting access to a course or membership outside of your usual checkout flow. Whatever the reason, Alvéya lets you do this at any time, straight from their contact record — no workflow required.
💡 Before you start: you'll need admin access to Contacts, and you should know the student's name or the email address they used to enrol.
💡 If you have it ticked (turned on), the student will automatically receive an email notifying them their course access has been revoked. To adjust this, go to Client Portal Settings → Email Settings and change the relevant email.
Finding the Client Portal Section
Both adding and revoking access happen in the same place — the Client Portal section of the student's contact record.
Steps
From the Alvéya main menu, go to Contacts.
Search for the student by name or email and open their contact record.
Click the Actions tab.
Scroll down to the Client Portal section and expand it if it isn't already open.
Under Offers, you'll see every course or membership the student currently has access to.

Manually Granting Access
Use this when you're enrolling a student outside of your usual checkout — for example, a comp'd student, a manual sale, or restoring access after an issue is resolved.
Steps
In the Offers field, click the dropdown.
Search for and select the course or membership you want to grant access to.
The offer will appear in the list — access is applied straight away.
💡 This only affects offers on the contact record you're currently viewing. If you need to update access for multiple students, you'll need to repeat these steps for each one — or use Bulk Actions from the Contacts list for larger changes.
Manually Revoking Access
This is the quickest way to remove a single student from a course or membership. It takes effect immediately, so use it whenever you need access gone right away rather than on a delay.
Steps
In the Offers field, find the course or membership you want to remove.
Click the X next to it to revoke access.
⚠️ Revoking access is immediate. The student will no longer be able to log in and view that course or membership content. If access was removed by mistake, you can reverse it by re-adding the offer using the steps below.
When to Use This Instead of an Automation
Alvéya can also add or remove course and membership access automatically — for example, when a subscription is cancelled or a payment fails. That's the better option if you're managing this regularly across many students, since it runs in the background without you lifting a finger.
Manual changes are best for one-off situations: a single student, a specific request, or a case that needs handling right now rather than waiting for a trigger to fire.
💡 If you find yourself adding or revoking access manually on a regular basis, it's worth setting up the automated version instead — it will save you time and keep things consistent.
