Step 2 - Inviting Members and Setting Roles

1. Logging into Your Community

  • Navigate to the Communities tab in Elvaya.

  • Click the big blue login button.

  • Optionally, bookmark the community tab for easy access.

2. Inviting Members to Your Community

  • Click on 'Invite Members' in the right-hand corner.

  • Choose to invite members via:

    • Sharing the group link.

    • Inviting them by email.

  • Optionally grant admin privileges to new members.

3. Member Sign-Up Process

  • After sending the invite link, new members will see a sign-up screen.

  • They need to enter their full name, email, and create a password.

  • After clicking 'Sign Up', they will receive a secure code via email to complete the process.

4. Member Profile Setup

  • New members can upload a photo and write a bio.

  • They have the option to invite other members to the group.

5. Adjusting Member Invitation Settings

  • Go to the admin area of your community.

  • Click on 'Settings' and then 'Details'.

  • To restrict member invitations, untick 'Allow Members to Invite Members'.

  • Important for paid groups.

6. Setting Group Visibility

  • You can set your group to Private.

  • Control visibility in the SwitchBar for non-group members.

7. Managing User Roles

  • In the Members Area, click on the three dots next to a member's name.

  • Options include:

    • Change Role (Admin or Contributor).

    • Ban from the group.

    • Manage course access.

    • Remove from the group.

8. Default roles and abilities

Default roles and typical abilities

A well-structured community group has a hierarchy of roles, each with distinct responsibilities and capabilities.

  • Owner: Full control, including deactivating the Group, editing settings, and assigning any role.

  • Admin: Manage members and content; invite, approve, remove, and adjust roles.

  • Channel Manager (specific channel): Moderate channel and members for a specific channel.

  • Contributors: Participate in discussions based on Group privacy and channel access.
