Add a User to Your Alvéya Account

How to add a team member to your Alvéya account, choose their role and permissions, and what to do if the system won't let you add a new user.

Adding team members to your Alvéya account lets your staff manage bookings, contacts, and communications with the right level of access for their role.

How to add a user

  1. Go to Settings, then My Staff.

  2. Click Add User.

  3. Add their personal details, then click Next.

  4. Choose their role and permissions (see below).

  5. Complete the rest of the setup details.

Roles & Permissions

  • Admin: full access to all modules and settings in the account

  • User: restricted access; granular permissions apply

💡 If you have multiple staff needing a similar role setup, you can copy permissions from another user rather than configuring them from scratch.

My team member can't see the contacts even though i have toggled on those permissions

If the "Restrict data visibility to only assigned data" is ticked, the can only see contact profiles that have been assigned to them

Why isn't it allowing me to add a new user?

This message usually appears when the person you are trying to add is already connected to another Alvéya account. Because of the way user permissions work, this can sometimes prevent you from adding them directly from your dashboard.

We can add this person to your account from our end if needed. It is just important to note that if they currently have admin access in another Alvéya account, they will also have admin access in your account.

If you would prefer them to have user access only, you will need to ask them for an email address that is not already connected to an Alvéya account. You can then add that email address as a team member inside your account.

If you would like us to add them for you, simply send their name and email address through the chat widget, and confirm that you would like them to have access to your account. Our team can then jump in and update this for you.
