Domains Playbook: A Complete Setup Guide

The complete domain setup guide for Alvéya — every domain type explained (main website, dedicated email sending, client portal, branded links), the step-by-step setup order, FAQs, and troubleshooting.

Your domain setup is the foundation of your entire digital ecosystem. Inside Alvéya, domains control how your website loads, how your emails are delivered, how your client portal is accessed, and how your links appear publicly. This Playbook walks you through every domain type available in Alvéya, explains when to use each one, and guides you step-by-step through setup.

Domain Types Explained

Main Website Domain (Recommended)

This is your primary public-facing domain — for example, yourbusiness.com. Use this for:

  • Your website

  • Funnels

  • Landing pages

  • Blog

  • Online store

If everything is built inside Alvéya, this domain becomes the base for your ecosystem.

If your website is hosted elsewhere, you will use subdomains for everything in Alvéya and keep your main root domain on your main website

⚠️ Important: Your main domain should not be used for email sending or your client portal. Those require separate subdomains.

Dedicated Email Sending Domain (Recommended)

This is a subdomain used only for email delivery — for example, connect.yourbusiness.com.

Clients will not see this domain directly.

It exists to:

  • Improve deliverability

  • Protect your main domain's reputation

  • Maintain long-term sender health

Using a dedicated sending domain is best practice for professional email marketing.

Client Portal Domain (Optional)

This is a branded subdomain used for your client portal — for example, portal.yourbusiness.com or members.yourbusiness.com. It replaces the default system-generated portal link and creates a more professional experience for your clients.

Branded Domain (Optional)

This is a custom subdomain used for forms, calendars, proposals, and invoices — for example, links.yourbusiness.com or forms.yourbusiness.com. Instead of using system URLs, you can create a clean branded experience across every touchpoint.

Steps to Setting Up Your Domains

Step 1 – Decide Your Domain Structure

Before connecting anything, decide: Will you use your existing domain? Are you moving a website from another platform? Do you need subdomains for email and portals? Write down your final structure before proceeding. For example:

  • Main domain → yourbusiness.com

  • Email → connect.yourbusiness.com

  • Portal → portal.yourbusiness.com

  • Forms → links.yourbusiness.com

  • Calendar → links.yourbusiness.com

Clarity first prevents confusion later.

If your website is staying with another platform, you will not need to add you main root domain. You will create sub domains in Step 4 instead

Go to Settings, then Domains. Follow the full guide: Connect Your Domain to Alvéya. Once DNS is updated, allow time for propagation (can take up to 24 hours, often much faster).

Create a subdomain in your Domain provider that is specifically for send emails— for example, connect.yourdomain.com — and connect it inside Alvéya as your dedicated email sending domain.

You will be asked to add specific DNS records (usually CNAME and TXT records).

This step is essential for authentication, SPF, DKIM, and deliverability health. Full guide: Setting Up Your Dedicated Email Sending Domain.

If you are using a client portal, branded forms, or branded calendar links, repeat the same DNS process using additional subdomains.

Each subdomain must be created in your domain provider and then connected inside Alvéya.

Commonly, these will be:

  • portal.yourdomain.com

  • links.yourdomain.com

If your website is staying on another platform, create a sub domain for your funnels to have on hand (not needed if your website is in Alvéya)

FAQs

Can I use the same domain for everything?

You should use your main domain for websites and funnels. However, email sending must use a separate subdomain, the client portal should use a separate subdomain, and branded links should use separate subdomains. This protects domain reputation and keeps systems clean.

Can I use a .com.au domain?

Yes. Some domain extensions cannot be purchased or transferred directly inside certain platforms. In that case: purchase the domain through a third-party provider, update DNS manually (or if you are with GoDaddy or have your domain rerouted through Cloudflare, the DNS records can be added automatically), then connect inside Alvéya. This works seamlessly once DNS is configured correctly.

Why is my domain not connecting?

Common reasons: DNS records not entered correctly, propagation still in progress, CNAME conflicts, or the domain is still connected to another platform. Check spelling carefully and confirm there are no duplicate records. If you still cannot fix it, contact your domain name host.

Can the Alvéya team connect my domain for me?

Due to security risk, we cannot connect your domain for you. Your domain name is a major asset for your business and we do not want to compromise the security of it. Please contact your domain host provider if you require assistance.

How long does DNS propagation take?

Anywhere from a few minutes to 24 hours. Most updates reflect within 1–2 hours.

Troubleshooting

  • Domain shows as pending: Double-check CNAME target values and remove conflicting A records.

  • Emails landing in spam: Confirm SPF, DKIM and domain authentication records are valid, and check that you don't have multiple SPF records. Placing your domain in a DNS record checker can help pinpoint the issue.

  • Portal link not working: Ensure the subdomain is correctly pointed — see the Client Portal Domain Name guide.
