Setting Up Your Dedicated Email Sending Domain

A dedicated email sending domain protects your sender reputation and improves deliverability — why it matters, how to set it up in Alvéya step by step, and how to use multiple sending domains for different email types.

A dedicated email sending domain gives you full control over your sender reputation and significantly improves the chances of your emails reaching your audience's inbox — not their junk folder. This guide explains what it is, why it matters, and how to set it up inside Alvéya.

Why a Dedicated Sending Domain Matters

By default, emails sent through Alvéya go out via a shared sending domain. This is perfectly functional when you are just getting started, but it does come with one important limitation: you are sharing that domain's reputation with every other user on the same shared infrastructure.

If another user's campaigns get marked as spam, that can affect your email deliverability too — even if your own sending habits are excellent. Your emails may start landing in junk folders through no fault of your own.

Setting up your own dedicated sending domain solves this by creating a subdomain — a variation of your own domain — that is used exclusively for sending emails from your Alvéya account. Once this is in place:

  • Your deliverability is based entirely on your own sending habits.

  • Your main domain's reputation is protected.

  • You have full ownership of your sender identity.

💡 Think of it like moving from a shared office to your own space. You control the environment, and what your neighbours do no longer affects you.

Before You Begin

To complete this setup you will need:

  • Access to your Alvéya Settings panel.

  • Access to the DNS settings for your domain, managed through your domain registrar (e.g. VentraIP, GoDaddy, Cloudflare, Namecheap, or similar).

💡 If your domain is hosted with GoDaddy or Cloudflare, Alvéya can auto-configure your DNS records for you — making this process even faster. For all other providers, you will add the records manually, which is straightforward copying and pasting.

Step 1 — Navigate to Email Services

From your Alvéya dashboard, go to Settings and click on Email Services. You will see a button labelled Dedicated Domain and IP — click that to get started.

Step 2 — Add Your Sending Domain

Click Add Domain. You will be prompted to enter the subdomain you want to use for sending. This should be a subdomain of your own domain, for example: mail.yourwebsite.com or send.yourwebsite.com.

Replace yourwebsite.com with your actual domain name. Choose whatever prefix makes sense for you — mail and send are the most common choices.

💡 Use a simple, clean prefix. Your subscribers will never see this subdomain in most email clients, but it is part of your sending infrastructure so keeping it professional and consistent is good practice.

Step 3 — Verify Your DNS Records

Once your subdomain is added, Alvéya will display a list of DNS records that need to be added to your domain. This is the part that sounds technical, but it is essentially just a copying and pasting exercise.

If you use GoDaddy or Cloudflare:

  • Alvéya can auto-configure your DNS records. Follow the prompts within the platform to connect your account and the records will be added automatically.

If you use any other DNS provider (e.g. VentraIP, Namecheap):

  • Log in to your domain registrar and navigate to your DNS settings.

  • Click Add New Record.

  • Select the record type shown in Alvéya (this will typically include CNAME and TXT records).

  • Copy and paste the Host and Value for each record exactly as shown.

  • Repeat this for every record listed in Alvéya until all are added.

  • Save your changes.

⚠️ Copy the Host and Value fields carefully — even a single character out of place will cause verification to fail. Do not add any extra spaces before or after the values.

Step 4 — Wait for Verification

Once your DNS records are saved, head back to Alvéya and allow time for the records to propagate. This process can take up to 24 hours, so do not be concerned if the records are not verified immediately.

  • If your records verify within a few minutes, great — this is common with many providers.

  • If it has been longer than 24 hours without verification, go back and double-check that each DNS record was entered correctly.

  • Once verified, your dedicated sending domain is active and ready to use.

💡 You can continue using Alvéya normally while you wait for DNS propagation. Your existing email settings will remain in place until your new sending domain is fully verified.

Step 5 — Set Your Headers

Once verified, click the three dots next to your sending domain and select Set Headers. Add your name or business name and the from email address you want your emails to display.

Step 6 — Configure Domain for Email Features (Optional)

Under Domain Configuration you can specify what each domain is used for — such as calendar notifications, payments, or campaigns. You can use different subdomains for different features, or keep everything on one and keep it simple.

Using Multiple Sending Domains

You are not limited to a single dedicated sending domain in Alvéya. You can set up multiple sending domains under your account and assign different ones to different types of emails. For example:

💡 Separating your transactional emails (such as payment receipts and booking confirmations) from your marketing campaigns is particularly worthwhile. Transactional emails have very high open rates and strong reputations — keeping them on a separate domain protects that reputation from any fluctuations in your marketing email performance.
