A walkthrough of the six ready-made workflow templates that come with your course or subscription — abandoned cart recovery, bump offers, new member welcome and nurture, course completion, payment failures, and cancellations.

When you set up a course or subscription in Alvéya, six ready-made workflow templates come with it. Together, they quietly look after your members from the moment someone starts your order form right through to the day they finish your course — or move on.

You don't need to build anything from scratch. Each workflow is already structured for you — your job is simply to connect it to your funnel, choose your tags, and make the emails sound like you. This guide walks you through each one.

1 – Abandoned Cart: Recovery Email

Sometimes a client starts your order form, gets distracted, and never quite makes it to the payment step. This workflow notices, waits a little while, then sends them a friendly reminder email — so a genuine moment of interest doesn't slip away.

Step-by-step instructions (convert to accordion)

  1. Open the workflow and click the trigger. It's already set to fire when someone submits your order form as an "Opt In" — meaning they started the form but didn't complete their payment.

  2. Add a second filter to the trigger: choose "In funnel/website" and select the funnel your order form sits on.

  3. Check the Wait step. This is how long Alvéya waits before sending the reminder — adjust it if you'd like more or less breathing room.

  4. Open the Add Tag step and create (or select) a tag such as "Abandoned Cart". This lets you see at a glance who started the form but didn't finish.

  5. Open the Email step and select the abandoned cart email template you've created for this funnel — or a generic one if you have it.

  6. Update the From Name and From Email so it comes from you, then personalise the Subject line and Pre-Header.

  7. Save and publish the workflow.

💡 Keep the reminder email light and helpful — a simple "looks like you didn't quite finish" works far better than anything pushy.

2 – Bump Offer: Post Purchase

If you've added a bump offer to your checkout — a small extra clients can tick as they pay — this workflow takes care of everyone who says yes. It updates their tags, lets you know, and sends them everything they need for their extra purchase.

Step-by-step instructions (convert to accordion)

  1. Click the trigger. It's already set to fire when a bump offer order is submitted through your funnel — nothing to change here.

  2. Open the Remove Tag step and select the tag you'd like taken off at this point — for example, your abandoned cart tag, so their record stays tidy once they've purchased.

  3. Open the Add Tag step and create a tag that clearly identifies them as a bump offer buyer — something like "Course – VIP Bump Offer".

  4. Set up the Internal Notification so you're told the moment someone takes the bump offer.

  5. Open the Email step and customise it with everything they need to access or use their bump offer.

  6. Save and publish the workflow.

💡 If your bump offer includes access to a private channel in your community, add a "Grant Private Channel Access" action to this workflow so it happens automatically.

3 – New Order/Subscription Sign Up + Nurture Emails

This is your welcome workflow — the one that greets every new member. It tags them, lets you know they've arrived, and then delivers a gentle series of emails over their first two weeks so they feel looked after from day one.

Step-by-step instructions (convert to accordion)

  1. Click the trigger and select the funnel your offer is on.

  2. Open the Add Tag step and create (or choose) a tag so you can identify everyone who has signed up.

  3. Optional: if a community is part of your offer, set up the Grant Group Access step. If you'd also like to add members to a private channel, add a "Grant Private Channel Access" action here too.

  4. Set up the Internal Notification so you know each time someone signs up.

  5. Check the 1 Day Wait step and change it if you'd like your first email to land sooner or later.

  6. Customise your Day 1 welcome email — this is the first thing your new member hears from you, so make it warm.

  7. Work through the Day 3, Day 7, and Day 14 emails. Edit them to nurture your new members — or delete any you don't need.

  8. Save and publish the workflow.

💡 You don't have to use all four emails. Even a single well-written welcome email makes a lovely first impression — you can always add more later.

4 – Course Completion & Upsell

The moment a member finishes your course, this workflow celebrates with them. It tags them as complete and sends a congratulations email — and if you have a next offer, this is the perfect place to introduce it.

Step-by-step instructions (convert to accordion)

  1. Click the trigger and select which course this workflow should watch for completion.

  2. Check the Add Tag step — it's set to apply a "Course Completed" tag. Rename it if you'd like it to match your own tag naming.

  3. Open the congratulations email and make it yours — celebrate what they've achieved and what it means for them.

  4. Save and publish the workflow.

💡 If you'd like to upsell to another offer, simply continue the workflow after the congratulations email — add wait steps and nurture emails introducing what comes next.

5 – Payment Failure

Cards expire and payments occasionally bounce — it happens to every business. This workflow makes sure a failed subscription payment never goes unnoticed: you're notified straight away, and your member receives a kind email asking them to update their details.

Step-by-step instructions (convert to accordion)

  1. Click the trigger to check it — it's already set to fire when a subscription payment fails. Nothing to change here.

  2. Open the Notify Owner step and check the internal notification is addressed to you (or whoever manages your payments).

  3. Open the email to your client and personalise it. Keep the tone warm and blame-free — a simple note that the payment didn't go through, with a clear way to update their card details.

  4. Save and publish the workflow.

⚠️ A failed payment is almost never intentional — most are expired cards. A kind, matter-of-fact email keeps the relationship intact and gets things sorted fastest.

6 – Payment/Subscription Cancelled

When someone cancels their subscription, this workflow tidies everything up for you automatically — removing their course access, updating their tags, letting you know, and sending them a courteous email confirming the cancellation.

Step-by-step instructions (convert to accordion)

  1. Click the trigger to check it — it's set to fire when a subscription's status becomes "Cancelled".

  2. Open the Revoke Course Access step and select the course or membership their access should be removed from.

  3. Open the Remove Tag step and select your active-member tag (for example, "Course Active").

  4. Check the Add Tag step — it applies a "Course Cancelled" tag so you always know who has left.

  5. Set up the internal email notification so you're told when someone cancels.

  6. Open the email to your customer and personalise it — confirm the cancellation graciously and leave the door open for them to return.

  7. Save and publish the workflow.

💡 A gracious goodbye email is quietly powerful. Members who leave on a good note are far more likely to come back — or recommend you to someone else.
