How to Set Up an Email Signature in Alvéya

Create or edit staff email signatures in Settings → My Staff, configure automatic signature settings, and insert signatures manually in emails using the {{user.email_signature}} custom value.

Email signatures help keep your outbound emails consistent and professional. Each team member in your Alvéya account can have their own signature, allowing you to include their name, role, and contact details automatically in emails sent from the platform.

This ensures that every email sent through Alvéya maintains clear branding and the correct sender information.

How to Set Up or Edit an Email Signature

Step 1 — Go to My Staff

Inside your Alvéya account, go to Settings → My Staff. This section shows all team members who have access to your account.

Step 2 — Select the Staff Member

Find the team member whose signature you want to edit. Click the Edit (pencil icon) beside their name.

Step 3 — Update the Signature

Scroll down to the Signature section. Here you can enter and format the signature text. You can include details such as:

  • Name and job title

  • Phone number

  • Website link

  • Social media links

  • Business name

The editor allows basic formatting such as bold text and links.

Step 4 — Configure Signature Settings

You will see two optional settings.

Enable Signature in All Outgoing Messages — Turn this on if you want the signature to automatically appear in emails sent by that user.

Include Signature Before Quoted Text in Replies — Enable this if you want the signature to appear above the quoted email thread when replying to messages.

Step 5 — Save Your Changes

  1. Click Next

  2. Click Save

Your changes will now apply to emails sent by that user.

How to Insert an Email Signature Using Custom Values

You can also place a signature manually inside email templates or campaign emails using a custom value. This is useful when you want the signature to appear in a specific position within your email.

  1. Open the email editor where you are writing your email

  2. Click Custom Values

  3. Go to User

  4. Select Signature

The custom value used to insert the signature is: {{user.email_signature}}

When the email sends, this placeholder will automatically be replaced with the correct user's signature.
