Creating your own email templates in Alvéya helps you save time and keep your communications consistent across automations, appointment reminders, and campaigns. You can use templates for confirmations, cancellations, newsletters, and more.
Step 1: Go to the Email Template Library
From your Alvéya dashboard, click Marketing → Emails → Templates.
Click + New and select Blank Template.
💡 It's best to create templates before building your workflows or campaigns so you can reuse them easily across your account.
Step 2: Choose a Template Type
You'll see two editor options:
Plain Text Editor → best for system or appointment emails (simple, reliable formatting).
Design Editor → ideal for branded newsletters or promotional emails.
Select the editor that suits your goal, then click Create Template.
Step 3: Add Your Email Content
Paste your email copy into the editor.
Remove any placeholder text that appears.
Rename your template clearly, such as Appointment Confirmation – Plain Text or Newsletter Template.
💡 Keep your subject line short and clear — aim for under 50 characters.
Step 4: Insert Custom Values (Optional)
You can personalise your emails by adding Custom Values — these automatically pull contact or appointment details.
Click the Custom Values icon in the toolbar.
Select a field from the list, such as: Contact → First Name, Appointment → Start Date, Appointment → Start Time, or Location → Name.
The value will appear in brackets (e.g. {{contact.first_name}}).
💡 Use only the fields you need to keep emails clean and easy to read.
Step 5: Add Reschedule or Cancellation Links
If you're creating an appointment-related template:
Type text such as "Reschedule Appointment" or "Cancel Appointment."
Highlight the text and click the Link icon in the toolbar.
Open the Custom Values menu → choose Appointment → Reschedule Link or Appointment → Cancel Link.
Paste the value into the link URL field.
💡 Including reschedule and cancellation links helps reduce no-shows and support requests.
Step 6: Save and Test Your Template
Click Save Template in the top-right corner.
Use Send Test Email to preview your message and confirm formatting, spacing, and links are correct.
Step 7: Organise Your Templates
Use folders to group templates (e.g. Appointments, Newsletters, Internal Messages).
Drag and drop each template into the right folder.
💡 Naming templates consistently (e.g. "Appointment Reminder – Email") makes them easy to find later.
