How to Connect Your Email to Alvéya (Two-Way Email Sync)

Connect your Gmail or Outlook to Alvéya so emails appear in both places automatically — setup steps, how sync works for each provider, sending limits, and common questions.

When you connect your Gmail or Outlook to Alvéya, your emails will automatically appear in both places — your personal inbox AND Alvéya. You won't have to copy or forward anything. It just stays in sync!

⚠️ Please note: This feature only works with Gmail and Outlook accounts. If your email address is hosted directly through your domain provider (e.g. GoDaddy, Namecheap, Squarespace, Wix, or similar), it is not supported and cannot be connected. You would need to route your email through Google Workspace (Gmail) or Microsoft 365 (Outlook) for this feature to work.

Part 1: What Is Two-Way Email Sync?

Think of it like this: when you send or receive an email, it shows up in both your Gmail/Outlook inbox and inside Alvéya at the same time.

  • Emails you send from Alvéya appear in your Gmail/Outlook sent folder.

  • Emails a contact sends to your Gmail/Outlook appear in Alvéya under that contact's conversation.

This works with Gmail and Outlook.

Part 2: How to Connect Your Email

  1. In Alvéya, click on Settings (usually found in the left sidebar or bottom-left menu).

  2. Go to the Profile tab, then click General.

  3. Scroll down until you see the section called Email (2-Way Sync).

  4. Choose your email type — Gmail or Outlook — then click Connect.

  5. For Gmail: A pop-up will appear asking you to choose your Gmail account. Select it, then make sure to allow all the permissions when asked. Click Continue when done.

  6. For Outlook: Enter your Outlook email and password when prompted, then approve the permissions requested.

That's it! You'll see your email address listed as "Connected" on the page.

Part 3: How Does It Work After Connecting?

For Gmail users

There are two ways emails start syncing:

  1. You send first — If you send an email to a contact from inside Alvéya, that email (and all future replies in that thread) will sync between Gmail and Alvéya automatically.

  2. They email you first — If a contact that's already saved in Alvéya sends an email to your Gmail, it will automatically appear in your Alvéya conversations too. (Note: the contact must be assigned to you first.)

For Outlook users

  • The sync only starts when you send the first email from Alvéya. After that, all replies in that thread will sync in both directions.

  • Emails you start from Outlook (not from Alvéya) will not sync into Alvéya.

💡 Tip for Gmail users: The 500/day limit only applies to one-on-one emails. Bulk emails and automated messages sent through Alvéya are sent separately and don't count toward this limit.

Part 5: Other Helpful Features

Change your connected email

You can switch to a different email address without losing your history. Just go back to the Email (2-Way Sync) section and use the Update Email option. New emails will sync with the new address going forward.

Disconnect your email

If you want to stop syncing, click Disconnect Email in the same section. Your past emails will stay in Alvéya — nothing gets deleted. New emails just won't sync anymore.

BCC trick to pull in new contacts

When sending an email from Gmail or Outlook, you can add your special BCC address (found in the Email Sync settings) to the BCC or CC field. This will automatically log the contact and conversation in Alvéya, even if the email wasn't sent from Alvéya directly.

Part 6: Common Questions

Do I have to sync my inbox to send emails

No. This is not necessary to send emails out from Alvéya

Will my old emails import into Alvéya?

No. Only emails sent or received after you connect will sync. Past emails won't be pulled in.

If I disconnect my email, will my emails be deleted?

No! Your already-synced emails stay in Alvéya. You just won't get any new ones syncing until you reconnect.

Does this affect bulk emails or automations?

No. Bulk emails and automated workflows are sent through Alvéya's own email system — not through your personal Gmail or Outlook — so they're not affected by this sync.

What if I'm CC'd on an email — will it show in Alvéya?

Yes! If you're CC'd or BCC'd on an email, it will still show up under the right contact in Alvéya.

What if my Gmail password changes?

If your Google password changes, you'll need to reconnect your Gmail account in the Email Sync settings to keep everything working.
