Inviting Users to the Client Portal

Three ways to give clients access to your client portal — magic links, direct invitations, and login emails — plus how invited and joined user counts work and when to use each option.

Once your client portal is set up, the next step is inviting your clients or audience to access it. There are a few different ways to give users access, depending on how you want them to log in.

Client Portal URL

Every client portal has its own unique URL that you either set up with your sub domain in the previous step or using the system client club default URL.

You can copy this link and send it directly to your clients so they can access the portal.

Invited Users vs Joined Users

Inside your client portal dashboard, you will see two user counts.

  • Invited Users — This shows how many people you have invited to join the portal.

  • Joined Users — This shows how many people have successfully logged in and created their account.

This helps you track who has access and who still needs to complete their setup.

Ways to Give Users Access

There are three main ways to invite or log users into the client portal.

Action 1 — Magic Link

A magic link allows a user to log in instantly without needing a password.

This is useful when sending links via:

  • Email

  • SMS

  • Direct messages

When a user clicks the link, they are taken straight into the portal.

⚠️ Important:

Magic links are created at the individual contact level. If you are using workflows or automations, you should use the custom value for magic links, which will automatically generate a unique login link for each contact.

Action 2 — Invite to Client Portal

You can send a direct invitation to join the portal. To do this:

  1. Click the Invite action

  2. Select an existing contact or enter a new email address

  3. Send the invitation

The user will receive an email inviting them to create their login and access the portal. Invitations are sent from your default domain.

Action 3 — Login Email

The login email allows users to access the portal quickly without needing to enter their password.

When sent, the email includes a login button that takes them directly into the portal. This is useful for:

  • Clients who have already been invited

  • Resending access to existing users

  • Quick access without password resets

You can also select multiple contacts at once and send the login email in bulk.

When to Use Each Option

  • Use Magic Links for quick, seamless access

  • Use Invitations when onboarding new users

  • Use Login Emails when users already have access but need an easy way back in
