Choose Add Form or open the available form templates.
Select Webinar registration Basic form if you want to embed the form on a funnel or registration page.
Name the form clearly, such as Demo Registration.

Full name and email address, or
First name and email address.
Add optional fields if needed, such as:
Where they heard about you
Their current stage in a journey
Any other qualifying information
Update the button text to something action-oriented, such as Register Now or Save My Spot.
Adjust colors and background settings to match your brand.
Turn on notifications if you want to receive an alert when someone registers.
Leave autoresponder off here, since confirmation emails will be handled in automation.
Save the form when finished.
2. Embed the form on your website or funnel page
If you are using a non-Alvear website such as Squarespace or WordPress, choose Inline.
Copy the embed code.
Paste the embed code into your website or registration page.
If you are using Alvear pages, continue to the funnel setup instead.
Save your changes before moving on.
3. Duplicate the webinar registration funnel template
Go to Templates in Alvear.
Find the webinar registration funnel template.
Duplicate or clone the template so you always keep an original copy.
Name the new funnel clearly.
Set the webinar date and location/account details.
Confirm the duplication.
Open the new funnel and verify the pages included:
Registration page
Confirmation page
Broadcast page
Expired webinar page
4. Customize the registration page
Open the registration page inside the duplicated funnel.
Review the page structure and ensure it includes:
A clear title
A strong call to action
A simple registration form
A description of what attendees will learn
Add or edit sections to include:
The problem the webinar solves
What attendees will learn
Who the webinar is for
Information about you or your business
Remove any sections you do not need.
Use the provided swipe copy as a starting point and customize it for your webinar topic.
Update branding elements such as colors, images, and copy.
Add your logo at the top if desired.
Remove the header and footer if you want a distraction-free landing page.
5. Connect the registration form to the page and funnel flow
Select the registration form you created earlier.
Confirm that the correct form is connected to the page.
Set the form action to go to the next step in the funnel.
Make sure the page is aligned with your brand and webinar topic.
Save the page once the form and action are correctly linked.
6. Confirm contacts are added and tagged correctly
Verify that form submissions automatically create contacts in Alvear.
Confirm that registrants are added to your contacts list when they submit the form.
Set up a tag to identify webinar registrants, such as:
Webinar Registrant
Or a webinar-specific tag for better tracking
Use the tag to trigger the correct automation later.
Save the tagging action before moving on.
7. Clone and configure the webinar automation workflow
Go to Automation in Alvear.
Duplicate the webinar workflow template.
Open the cloned workflow.
Set the trigger to the specific registration form submission.
Confirm the workflow starts when the demo registration form is submitted.
Add the webinar registrant tag as the next action.
Save the action so registrants are properly identified.
8. Set the webinar date and send the confirmation email
Add the webinar event date and time in the workflow.
Use this date/time to control reminder timing later in the sequence.
Configure the confirmation email as the next action.
Update the sender name and sender email address.
Edit the subject line if needed.
Use swipe copy or a template to build the email content.
Include the webinar or Zoom broadcast link in the confirmation email.
Save the confirmation email action.
9. Build reminder emails before the webinar
Add reminder email steps after the confirmation email.
Set delays based on your webinar schedule, such as:
3 days before the webinar
1 day before the webinar
24 hours before the webinar
Duplicate reminder actions as needed to create multiple reminders.
Adjust the delay timing for each reminder email.
Customize each reminder email with the correct sender details, subject line, and content.
Save each reminder step after editing.
10. Create the post-webinar replay and nurture sequence
Add follow-up emails after the webinar ends.
Start with a replay email sent after the webinar, such as 24 hours later.
Rename the action clearly, for example:
One day post-webinar email
Webinar replay email
Insert the replay link into the email content.
Continue duplicating actions to build additional follow-up emails.
Adjust the timing to match your nurture plan, such as 1 day or 2 days after the webinar.
Save each email step as you build the sequence.
11. Test the full webinar funnel before launch
Open the registration page in an incognito window to avoid caching issues.
Submit a test registration using your own email address.
Confirm that the registration page works correctly.
Verify that the confirmation page appears if one is included.
Check your inbox to ensure the confirmation email arrives immediately.
Review your contacts list to confirm the test registrant was added.
Check the automation enrollment history to confirm the contact entered the workflow.
Review the execution log to see which step the contact is on.
12. Speed up testing if needed, then restore live timing
If you do not want to wait for long delays during testing, temporarily change the workflow timing.
Replace long delays with short delays, such as 1–2 minutes.
Test the full sequence again to confirm each step works.
After testing, return the timing settings to the real webinar schedule:
24 hours before
1 day after
2 days after
Save the workflow after restoring the correct timing.
13. Launch the webinar funnel
Confirm that the form, page, automation, reminders, replay, and nurture sequence all work correctly.
Once everything is verified, mark the webinar funnel as ready.
Begin promoting the registration page to:
Your email list
Social media channels
Any other marketing channels you use
Monitor registrations and automation performance after launch.
