Step 4- Setup & Review the Reminder Automation

Reminder emails and follow-up messages are handled through Automations

Alvéya does not automatically create this automation when you build a webinar funnel, so you will need to add it manually.

Inside your Alvéya account we have already included a ready-made workflow template to make this step easier.

1. Locate the Webinar Workflow Template

Go to:

Automation → Workflows

Inside the Alvéya Workflow Templates folder, click into Webinar Templates and you will find the webinar workflow templates.

You will see four different workflows, choose the one that fits what you need:

  • Post-webinar nurture or sales emails

  • Replay email

  • Post-webinar nurture or sales emails

Each template includes the core structure for:

  • Tagging the contact for organisation

  • Setting the webinar date so the emails can be timed

2. Duplicate the Workflow

Do not edit the original template.

Instead:

  1. Open the workflow template folder

  2. Click on the three dots that are on the far right of the workflow Line and Click Duplicate

  3. Rename the workflow for your webinar name.

  4. Move the workflow from the template folder into another folder so it doesnt get mixed up.

This gives you a clean version you can customise for each event.

3. Connect the Workflow Trigger

Inside the duplicated workflow, set the trigger to your webinar registration form that you set up in step 1.

Example trigger:

Form Submitted → Webinar Registration Form

When someone registers for the webinar, the workflow will begin automatically.

4. Customise Your Reminder Timing

The template includes suggested reminders such as:

  • Registration confirmation immediately

  • 24-hour reminder

  • 1-hour reminder

  • 10-minute reminder

  • Post-webinar follow-up

You can edit these timings to suit your audience.

For example, some audiences (Business 2 Business) respond better to morning reminders, while others prefer evening reminders (Business 2 Client)
