Sending and Scheduling Email Newsletter Campaigns

Email campaigns are one of the simplest ways to reach your contacts. This guide walks you through setting up, sending, and scheduling a campaign in Alvéya, so your message reaches the right people at the right time.

Before you start:

You will need a verified sending domain set up in your Alvéya account before you can send campaigns. If you haven't done this yet, complete your domain verification first.


What Are Email Campaigns?

Campaigns are one-time email broadcasts — ideal for announcements, newsletters, promotions, or any message you want to send to a specific group of contacts. Unlike automations, which run in the background based on triggers, campaigns are something you send deliberately: you design it, choose your audience, and decide when it goes.

They're the quickest way to reach your contacts without building a full automation workflow.

Step 1: Create or Open Your Campaign

From your Alvéya dashboard, navigate to Marketing → Email → Campaigns.

  • To start fresh, click New Campaign.

  • To continue working on a draft, click on the campaign name to open it.

Step 2: Design Your Email

Inside the campaign editor, build your email using the drag-and-drop builder or by selecting a pre-built template.

  • Add your content, images, and any links you want to include.

  • Click Preview to check how your email looks on desktop and mobile.

  • Use Send Test Email to send a copy to yourself before committing to a full send.

💡 A quick test send is always worth doing — it takes 30 seconds and catches formatting issues before they reach your contacts.

Step 3: Choose How to Send

When your email is ready, click Send or Schedule. You'll see a screen where you can configure the send details and choose your delivery method.

Option A: Send Now

Use this when you want your campaign to go out immediately.

  1. Enter a Sender Name — this is the name your contacts will see in their inbox.

  2. Check your Sender Domain to make sure it's correct.

  3. Add your Sender Email address.

  4. Write your Subject Line.

  5. Add your Recipients — choose a segment or smart list.

  6. Configure any additional settings such as link tracking, UTM parameters, or tags.

  7. Click Send to dispatch the campaign immediately.

Option B: Schedule for Later

Use this when you want your campaign to go out at a specific date and time. The send time is based on your location's timezone, shown below the scheduling option.

  1. Set the date and time for delivery.

  2. Complete the Sender Name, Sender Domain, Sender Email, and Subject Line fields.

  3. Add your Recipients.

  4. Configure any additional settings as needed.

  5. Click Schedule to confirm.

💡 Scheduling in advance is especially useful for campaigns tied to a specific event or promotion — it removes the need to remember to send on the day.

Attaching Files to Your Campaign

If you need to include a document, PDF, or other file with your campaign, you can attach it directly from the Send or Schedule screen.

  • Click Attach Files at the top of the Send or Schedule screen.

  • Select the file or files you want to include.

  • Confirm the attachments are listed before proceeding.

⚠️ Keep the total size of your attachments under 10 MB. Larger files may cause delivery issues or be blocked by email providers.

Can I reschedule a campaign after I've set it up?

Yes — you can reschedule a campaign up to one hour before it's due to send. Open the campaign, edit the scheduled time, and confirm the change.

What's the difference between a campaign and a workflow?

Campaigns are one-time broadcasts — you send them once to a specific audience. Workflows automate multi-step email journeys based on triggers and conditions. If you're sending a regular newsletter or announcement, a campaign is the right tool.

Can I test my email before it goes out?

Yes. Inside the email editor, use Preview to check your layout, and Send Test Email to send a copy to yourself. This lets you verify how the email looks before it reaches your contacts.

Can I view my campaign online as well as by email?

Yes — once your campaign is sent, a web preview is available from the campaign statistics page. Note that the unsubscribe link will not be active in test or preview versions.

Can I restore an older version of my campaign?

Yes. From the campaign list, click the three-dot menu next to your campaign and select See Version History. From there you can review and restore any previous version.

Can I attach files to my campaign email?

Yes. On the Send or Schedule screen, click Attach Files to upload and add attachments. Keep the total attachment size under 10 MB.
