This forms part of our Opt In Funnel Playbook - If you would like to learn about all steps including the funnel page set up, please head to the playbook here
Step 1 — Create Your Opt-In Form
Your form is the starting point of the entire funnel. Alvéya includes ready-made template forms, so you do not need to build one from scratch.
1.1 Duplicate the template form
Navigate to Websites and Funnels.
Locate the pre-built template forms that have already been created for you.
Click the three dots next to the template form and select Duplicate.
Move the duplicated form out of the Templates folder: click the three dots again, choose Move to Folder, then select Root Folder.
💡 Always duplicate rather than editing the original template. This keeps a clean master version in place for future opt-ins, and ensures you receive any platform updates without losing your work.
1.2 Customise the form
Click on your duplicated form to open the editor.
To remove the default shadow or border, go to Styles and Options > Advanced, then turn off the border and set the shadow to zero.
Edit field labels to suit your opt-in (e.g. rename or remove the Last Name field if you do not need it).
Add any additional form fields you require.
Link your Privacy Policy. Remove the Terms of Service checkbox if it is not relevant.
Click Save when finished.
1.3 Set up form notifications (optional)
You can receive an email notification each time someone submits the form. Navigate to the Notifications tab within the form settings to configure this. If you are expecting a high volume of sign-ups, it is best to leave notifications off to avoid cluttering your inbox.
1.4 Embedding the form on an external website (if applicable)
If your website is hosted outside of Alvéya, you can embed the form using a code snippet:
Open the form and click Integrate.
Choose Inline.
Click Get Embed Code.
Copy the code and paste it into an HTML block on your external website.
Step 2 — Set Up Your Automation Workflow
Your automation workflow is what delivers your freebie and nurtures new subscribers automatically. Alvéya includes a pre-built nurture email workflow template — you do not need to create one from scratch.
4.1 Duplicate the workflow template
Navigate to Automation Workflows.
Locate the Nurture Email Workflow template.
Duplicate it and rename it to match your opt-in offer.
Click on the workflow title to open it.
4.2 Set the trigger
The trigger tells Alvéya when to start this workflow. Set it to activate when your specific opt-in form is submitted:
Click on the trigger block within the workflow.
Select Form Submitted as the trigger type.
Filter by the specific form you created in Step 1 (e.g. Example Opt-In Form).
Optionally, add a topic-specific tag (e.g. gut-health or fertility) so you can send targeted campaigns to this audience later.
4.3 Customise the delivery email (Email 1)
The first email delivers your freebie. Click the three dots on this email and select Edit Design to customise it:
Update the colours, images, and copywriting to match your brand.
If your opt-in is a PDF, host it on Google Drive or similar cloud storage and link to it using a button. Do not attach the file directly to the email — attachments can trigger spam filters and slow down delivery. Set the file to view-only so subscribers can download it from your cloud storage.
Thank the subscriber, share the key benefits of the download, and include a brief introduction to who you are.
Customise or save your email footer as a global footer so you do not need to recreate it for every email.
Update the email subject line and preview text by clicking the three dots > Settings.
Send a test email to yourself before activating the workflow.
💡 Hosting your PDF on Google Drive rather than attaching it directly can significantly improve email deliverability. It also loads faster for your subscriber. Always set the sharing permissions to View Only.
4.4 Customise the nurture email sequence
The workflow includes a series of follow-up emails spaced out over several days. This sequence helps new subscribers get to know you before your next newsletter arrives in their inbox.
Email 2 is formatted to look like a personal email sent directly from you — it is designed to feel conversational rather than promotional.
Email 3 offers a quick win or practical next step relevant to your opt-in topic.
Email 4 shares a testimonial or a client story that illustrates the transformation you help people achieve.
The wait times between emails are set to one day by default. You can adjust these to two days if you prefer. Aim to stay in contact every one to two days during the first week so subscribers begin to recognise your name.
4.5 Add the newsletter tag at the end of the workflow
The final step in the workflow adds a Newsletter tag to each subscriber. This moves them from the opt-in nurture sequence into your general audience. When you send a regular email campaign or newsletter, direct it to this Newsletter tag only — this prevents subscribers who are still mid-way through the nurture sequence from receiving two emails in quick succession.
